Ayrmer Software have developed a number of accounts based solutions for businesses in a variety of different
sectors. In the main, these systems have been integrated into the day to day running of the organisation
and create sales / purchase ledgers that are then exported to a number of well established accounts packages
like Mind Your Own Business (MYOB), Sage and QuickBooks.
stock control / management
A typical example of this is a system we developed for an abrasive manufacturer that needed stock control and sales ledger, dispatch and invoice documentation produced quickly and efficiently. All stock is barcoded allowing operatives to scan stock in and out of the stores. One of the complications associated with the sector is that stock is bought in one format and then broken down and sold in another format, e.g. 50 metre rolls of abrasive paper is shipped in from Italy and then broken down into per-packs. This meant keeping track of stock was critical as lead times were up to six months and keeping track of stock like this presented a number of challenges. We created an automated system that calculated the remaining bulk stock based on units sold. This saved huge amounts of time and provided the management team far better analysis of past / present / future stock usage.
The sales ledger provided the accounts departments with a breakdown of outstanding invoices enabling better credit control and enhanced cashflow.

More recently, we have developed a sales order processing system for CladCo LJT
Limited (shown below). The system is fully integrated into QuickBooks as the
client was perfectly happy with the underlying accounts system provided, but found
the generic sales estimates and sales orders did not match his business. CladCo
manufacture a wide range of profiled cladding and sheet materials and estimates are
calculated using square meterage - based on the end users requirements - and the estimating
staff need to calculate the square meterage before being able to furnish the client with an
estmimate. Furthermore, there is a limitation within QuickBooks of 14,000 subledger
accounts that restricted the number of customers requesting quotes could be held within
QuickBooks itself.

The solution we have provided has given the business far more flexibility in terms of storing customer information - the only accounts set-up within QuickBooks will be people that actually place an order, rather than everyone that requires a quotation. We have also streamlined the preparation of the estimates, based on the product list that is maintained via QuickBooks (for stock control purposes).
This project is an excellent example of how bespoke software solutions can bridge the gap between off-the-shelf accounts packages and the specific needs of your business. We are finding that more and more clients are happy with the generic business software applications but just need that last 10% of the system changing to match their processes. Using this approach can reduce the total cost of ownership (see our blog article understanding the total cost of ownership) and ensures you only need invest in the specific areas where your business processes differ from the norm.
